# Change Voicemail Greetings

A voicemail greeting is the message callers hear before they are prompted to leave a message. Cloud Voice plays a shared system greeting by default, but you can override it for any single extension or group voicemail. This page covers all three: the global greeting, an extension-specific greeting, and a group voicemail greeting.

## Set the global greeting for every voicemail

The global greeting is the fallback that plays for any voicemail box that has no greeting of its own.

**Before you start:** prepare the audio you want to use by [uploading a custom prompt](/pbx/administrator-guide/upload-a-custom-prompt/) or [recording one from a phone](/pbx/administrator-guide/record-a-custom-prompt/).

1. Sign in to the PBX (Private Branch Exchange, your phone system) web portal and open **Call Features > Voicemail > Voicemail Settings > Greeting Options**.
2. Open the **Global Voicemail Greeting** drop-down and choose the prompt you want callers to hear before leaving a message on any extension or group voicemail.
3. Click **Save**, then **Apply**.

Once applied, this greeting is used by every extension voicemail and group voicemail that does not already have its own greeting assigned.

## Set the greeting for a single extension

You can give one extension a greeting that is different from the global one, including separate greetings for each presence state.

**Before you start:** [record or upload a voicemail greeting](/pbx/administrator-guide/record-or-upload-voicemail-greetings/) for the extension.

1. Sign in to the PBX web portal, open **Extension and Trunk > Extension**, and edit the extension you want to change.
2. Select the **Voicemail** tab.
3. In the **Voicemail Greeting** section, choose the greeting that plays before a caller records a message for this extension:
   - **Default Greeting**: pick a prompt from the **Default Greeting** drop-down. This plays whenever the matching presence has its greeting set to **None**.
   - **Presence Greetings**: set a prompt for any of the presence states (**Available**, **Away**, **Do Not Disturb**, **Lunch Break**, **Business Trip**, and **Off Work**) using its drop-down. Cloud Voice plays the greeting that matches the extension's current presence.
4. Click **Save**, then **Apply**.

Presence is the extension's current availability status (for example Available, Away, or Do Not Disturb). Cloud Voice plays the greeting you assign to whichever presence is active. Any presence left at **None** uses the Default Greeting instead.

Choose **Record New** in any greeting drop-down to capture a fresh greeting and apply it on the spot.

## Set the greeting for a group voicemail

**Before you start:** [record or upload a voicemail greeting](/pbx/administrator-guide/record-or-upload-voicemail-greetings/) for the group voicemail.

1. Sign in to the PBX web portal, open **Call Features > Voicemail > Group Voicemail**, and edit the group voicemail you want to change.
2. In the **Group Voicemail Greeting** section, select the greeting to use.
3. Click **Save**, then **Apply**.
