# Manage Contact Visibility Rules

A contact visibility rule controls which colleagues (extensions) a given extension or group can see in the company directory of the Cloud Voice App and web client. Once you have created these rules, you will occasionally need to adjust them as teams change, or clear out rules you no longer use. This page covers editing an existing rule and deleting rules one at a time or in bulk.

This page changes rules that already exist. It does not create new rules. If a rule you need is missing, create it first from the same **Contact Visibility** page, then return here to fine-tune it.

## Edit a contact visibility rule

Use this when a rule's scope no longer matches your org, for example when a team is renamed, a department is reorganized, or you need to widen or narrow who a group can see.

1. Sign in to the management portal and open **Extension and Trunk > Client Permission > Contact Visibility**.
2. Find the rule you want to change and click the edit icon ![Edit](/images/pbx/edit.png) next to it.
3. Make your changes to the rule.
4. Click **Save**.

Your change takes effect for the affected extensions as soon as you save. If you narrow a rule, those users may immediately lose the ability to see (and quickly dial or transfer to) colleagues they relied on. Double-check which extensions the rule applies to before saving.

## Delete contact visibility rules

You can remove a single rule or several at once. Deleting a rule simply removes that restriction: it does not delete any extension or contact.

1. Sign in to the management portal and open **Extension and Trunk > Client Permission > Contact Visibility**.
2. To remove a single rule:
   1. Click the delete icon ![Delete](/images/pbx/delete.png) next to the rule.
   2. Confirm by clicking **OK** in the pop-up window.
3. To remove several rules at once:
   1. Select the checkbox for each rule you want to remove, then click **Delete**.
   2. Confirm by clicking **OK** in the pop-up window.

:::tip
Bulk delete is the fastest way to clean up after a reorganization. Tick every checkbox for the rules you no longer need and delete them in one action instead of one at a time.

:::danger
Deleting a rule is permanent. There is no undo, so you would have to rebuild the rule by hand to get it back. If the rule you delete was restricting visibility, the affected extensions fall back to the default (broader) view and may start seeing colleagues you meant to keep hidden. Confirm you have the right rules selected before you click **OK**, especially during a bulk delete.
