# Set Up Function Keys for Extensions Using a Template

Configuring function keys one extension at a time is slow when you manage a large number of users. Cloud Voice lets you define a function keys template once and push it to any number of extensions in a single action. This page walks through creating a template and applying it in bulk.

Function keys are the programmable buttons tied to an extension. They let a user watch the status of specific objects (such as another extension) or perform an operation with a single press. A function keys template is a saved set of these keys that you build once and reuse across many extensions.

The PBX server must be running firmware **84.16.0.70** or later. If it is on an older version, the **Function Keys Template** control described below will not appear, so check the firmware version first.

## Step 1. Create a function keys template

1. Sign in to the PBX (Private Branch Exchange) web portal and go to **Extension and Trunk > Extension**.

2. Select **Function Keys Template**.

3. Click **Add** to start a new template, then fill in its settings.

   a. In **Name**, type a label that will help you recognize the template later.

   b. Optional: use **Remark** to add a brief note describing the template's purpose.

   c. In the function keys list, define each key you need:
      - **Type**: choose the kind of key.
      - **Value**: set the value that matches the key type you selected.
      - **Label**: optional text that helps users recognize the key.

   d. Click **Save**. The new template appears in the list.

4. Click **OK**.

## Step 2. Apply the template to extensions

1. On the extension list, tick the checkboxes for the extensions you want to update, then click **Edit**.

2. Open the **Function Keys** tab, select the **Bulk Edit** checkbox, then click **Apply Function Keys Template**.

   :::caution
   You must select the **Bulk Edit** checkbox before clicking **Apply Function Keys Template**. If it is left unchecked, the template will not be pushed to the selected extensions.
   :::

3. In the dialog that opens, pick the template you want, then click **Apply**.

4. Click **Save**.

## Result

The function keys are now active on the selected extensions in the Cloud Voice App (desktop and web).

Extensions that are registered to IP phones through Auto Provisioning do not receive the new keys until you reprovision those phones. Until you do, the desk phones keep their old keys. Editing or deleting the template later has no effect on keys that were already applied. The applied keys stay on the extensions until you change them directly.
