# Manage Knowledge Base Contents

Once you have added content to a knowledge base, you can keep it tidy by renaming entries or removing the ones you no longer need. Both actions are done from the same place in the PBX (Private Branch Exchange) web portal.

## Edit a content entry

Editing lets you give an entry a clearer, more descriptive name so it is easier to recognize in the list.

You cannot change the text inside an uploaded file or a linked URL (web address) from here. Editing only renames the entry. To revise the information itself, [delete the existing entry](#delete-content-entries) and [add a new one](/pbx/ai-guide/add-contents-to-knowledge-base/) that contains the updated content.

1. Sign in to the PBX web portal and go to **AI > AI Receptionist > Knowledge Base**.
2. Find the entry you want to rename, click the ![more options](/images/pbx/move-vert-1.png) icon beside it, and choose **Edit**.

3. In the dialog that opens, type the new name and click **Save**.

   The entry name is updated right away.

:::tip
Because you cannot see a file's contents from the list, give each entry a specific name (for example, include the topic and a date or version). Clear names make the right entry easy to find later.

## Delete content entries

Remove entries that are outdated or no longer useful.

:::note
An entry that is currently assigned to one or more AI receptionists cannot be deleted. Remove it from every receptionist that uses it first, then delete it.

:::caution
Deleting an entry is permanent and cannot be undone. The knowledge base does not keep a copy, so the only way to get the content back is to add the file or URL again. Double-check the entry before you confirm.

Sign in to the PBX web portal and go to **AI > AI Receptionist > Knowledge Base**, then use one of the methods below.

### Delete a single entry

1. Click the ![more options](/images/pbx/move-vert-1.png) icon on the entry you want to remove.
2. Select **Delete** from the drop-down.
3. Click **OK** to confirm.

### Delete several entries at once

1. Select the checkbox for each entry you want to remove.
2. Click **Delete** at the top of the list.
3. Click **OK** to confirm.

### Delete every entry

Use this when you want to clear the whole list in one step. It removes every entry you are allowed to delete at once (entries still assigned to an AI receptionist stay in place).

1. Select the **All** checkbox to select every entry in the list.
2. Click **Delete** at the top of the list.
3. Click **OK** to confirm.
