# Customize Your Voicemail Settings

Voicemail lets callers leave you a recorded message whenever you can't pick up. The defaults work out of the box, but you can shape almost every part of the experience from one place in the Cloud Voice App. All of the settings below live under **Preferences > Voicemail**, and each change takes effect once you click **Save**.

## Turn voicemail on or off

1. Sign in to the Cloud Voice App and open **Preferences > Voicemail**.
2. Use the **Enable Voicemail** toggle to control the feature: switch it on to let callers leave messages, or off to disable your mailbox entirely.
3. Click **Save**.

## Set a voicemail access PIN

Decide whether a PIN is required before your messages can be played.

1. Sign in to the Cloud Voice App and open **Preferences > Voicemail**.
2. In the **Voicemail PIN Authentication** drop-down, choose one of the following:
   - **Disabled**: Reach your messages immediately, with no PIN prompt.
   - **Enabled**: Require a PIN before messages play. Type the code you want to use in the **Voicemail Access PIN** field.
3. Click **Save**.

:::note
The access PIN must be numeric and between 3 and 15 digits long.
:::

## Get email alerts for new messages

Have the system email you whenever a new message lands in your mailbox, with or without the recording attached.

1. Sign in to the Cloud Voice App and open **Preferences > Voicemail**.
2. Open the **New Voicemail Notification** drop-down and pick how you want to be notified:
   - **Do Not Send Email Notifications**: Turn email alerts off.
   - **Send Email Notifications with Attachment**: Email you about each new message with the recording attached as a `.wav` file.
   - **Send Email Notifications without Attachment**: Email you as soon as a new message arrives, with no recording attached.
3. If you turned notifications on, fill in the related options:

   | Setting | What it controls |
   | --- | --- |
   | After Notification | What happens to a message once its alert has been sent. Choose **Mark as Read** to flag it as read in your mailbox, **Delete Voicemail** to remove it from your mailbox, or **Do Nothing** to leave it unread. |
   | Send to | Where alerts are delivered. Choose **User Email** to use the address on your profile, or **Custom Email** to send them elsewhere and enter the address in the **Custom Email Address** field. |
4. Click **Save**.

:::caution
**Delete Voicemail** erases the recording from your mailbox as soon as the alert goes out. If you pair it with **Send Email Notifications without Attachment**, no copy is kept anywhere and the message is gone for good. Pick **Send Email Notifications with Attachment** if you want the mailbox cleared but still need the audio.

## Choose what plays before a message

You can have the system announce details about each message before it plays the recording itself.

1. Sign in to the Cloud Voice App and open **Preferences > Voicemail**.
2. Select the checkbox for each detail you want announced first:
   - **Play Date and Time**: Announce when the message was received. With this on, use **Time Display Format** to pick a 12-hour or 24-hour clock for the announcement.
   - **Play Caller ID**: Announce the caller's ID information.
   - **Play Message Duration**: Announce how long the recording is.
3. Click **Save**.

## Change your greetings

Choose what callers hear when they reach your mailbox.

:::tip
You can play the built-in system greeting or one you [record or upload yourself](/pbx/web-client-user-guide/record-or-upload-voicemail-greetings/).
:::

1. Sign in to the Cloud Voice App and open **Preferences > Voicemail**.
2. In the **Voicemail Greeting** section, set your greetings:
   - **Default Greeting**: Pick a greeting from the **Default Greeting** drop-down. This one plays whenever the active presence has no greeting of its own.
   - **Presence Greetings**: For each presence, pick an existing greeting or create a new one from its drop-down. The matching greeting plays based on your current extension presence.
3. Click **Save**.
