Set up Contact Creation for HubSpot CRM

Once Cloud Voice is connected to HubSpot CRM (Customer Relationship Management, the system your sales team uses to track contacts and deals), you can have new contacts added to the CRM whenever your team calls or is called by a number that isn’t already on file. Choose an automatic method that records unknown numbers without any effort from your users, or a manual method that lets extension users decide which callers to keep. Either way, your contact records grow as calls happen instead of relying on someone to enter them later.

Finish the HubSpot CRM integration first.

  1. Sign in to the PBX web portal (PBX, or Private Branch Exchange, is the phone system that runs your extensions) and open Integrations > CRM.

  2. On the CRM integration page, enable Create New Contact.

  3. Under Create Method, pick how contacts should be added.

    To let Cloud Voice add contacts on its own for the call directions you specify:

    1. Select Automatically.

    2. Open the Call Type drop-down and choose which calls trigger a new contact in the CRM.

      • Inbound: An incoming call from an unknown number that doesn’t match any existing Contact, Lead, or Account in the CRM.
      • Outbound: An outgoing call to an unknown number that doesn’t match any existing Contact, Lead, or Account in the CRM.

    To instead let each associated extension user add a contact themselves while on a call, select Manually.

  4. Click Save.

  • With automatic creation turned on, any call placed to or received from an unknown number adds a new contact to HubSpot CRM.

  • With manual creation turned on, associated extension users can add an unknown number to the CRM as a new contact or lead during the call.
