Allow Callers to Dial Extensions via IVR
An IVR (Interactive Voice Response) is the automated menu that answers a call and offers spoken options, such as “Press 1 for Sales.” It is a helpful front door for first-time callers, guiding them to the right person or team through a series of prompts. Regular callers, though, often already know the extension they want, and sitting through the menu just to get there wastes their time. Cloud Voice lets you allow those callers to key in an extension number straight from the IVR, skipping the prompts entirely.
Before you begin
Section titled “Before you begin”Callers can only use this shortcut if they know it is available. Update your IVR greeting so it tells callers they can dial an extension number at any time during the menu.
Enable direct extension dialing
Section titled “Enable direct extension dialing”-
Sign in to the phone system web portal and open Call Features > IVR, then edit the IVR you want to change.

In the Prompt drop-down, choose the greeting you updated to mention direct dialing.

In the Dial Extensions drop-down, decide which extensions callers are allowed to reach:
- All Extensions: Callers can dial any extension on the system.
- Allowed Extensions: Callers can dial only the extensions you select.
- Restricted Extensions: Callers can dial any extension except the ones you exclude.

Click Save, then Apply to put the change into effect.
