Schedule a Paging Call or an Intercom Call

Instead of triggering an announcement by hand each time, you can tell Cloud Voice to broadcast one on a fixed schedule. A scheduled paging or intercom call fires on the dates and times you define, which suits any routine that repeats: shift-change alerts, closing calls, timed bells, or recurring reminders across a site. The announcement can come from an extension user or be played automatically by the system.

A scheduled announcement plays to the members of an existing group, so set that group up first:

  1. Sign in to the phone system web portal and go to Call Features > Paging/Intercom, then open the Scheduled Paging/Intercom tab.

  2. Click Add and fill in the following fields.

The Caller field decides where the audio comes from:

  • An extension user: At each scheduled time, the system rings the chosen extension. Once that person answers, every group member’s phone opens into speakerphone mode so the user can speak the announcement live.

  • None: The system delivers the announcement itself. At each scheduled time, it calls the group members, plays the group’s custom prompt, and hangs up when the prompt finishes. This is the option to use for unattended broadcasts such as school or church bells.

  • Time accepts up to eight entries, so a single schedule can broadcast at several points during the day.

  • Days of Week repeats those times every week on the days you select.

  1. Click Save, then Apply.

The announcement now plays automatically to the group at each time and on each weekday you set, starting from the chosen date, with no one needing to place the call manually.
